How To Bulk Upload Photos & Documents Into Cemify
One of the benefits of using Cemify to manage your cemetery is the ability to store and organize files such as photos or PDFs and have them associated with a specific plot or entity within Cemify. This might include attaching headstone photos to burials, lot card scans to lots, map images to sections, or contract scans to sales records, for example.
When first collecting images or files, you may be working with hundreds, or even thousands, of images. In these cases, it is oftentimes easier to import the files in bulk, as opposed to one by one into the software.
How To Prepare a Bulk Import
Before getting started, please note that preparing a bulk image import requires that you have beginning to intermediate proficiency with spreadsheets. For those that are not familiar or proficient with Excel or another spreadsheet program, it is oftentimes easier to upload images one by one to the correct location in the software, according to these detailed instructions.
In order to prepare files or images for a bulk import to Cemify, it's important that they are correctly organized and formatted:
Structure Of File Folder
Image files must be included in 1 single folder and each image must have a unique name. For example:
Special characters should be avoided in the file name. Other than that, the file naming structure is not important assuming each file name is unique.
File Association Spreadsheet
Alongside a folder of files, you will need to prepare a spreadsheet that serves as the association between the file names and the appropriate object (for example, plot, burial, person or sale) within Cemify. The following are examples of valid lookups that can be used:
Cemify Object IDs (recommended)
Object IDs, such as Grave ID, Plot ID, Burial ID, Person ID, or Sale ID, can be used to associate a file with the correct location in the software. For example:
Cemify Burial ID | File Name |
388289 | img399.png |
388290 | img400.png |
388291 | img401.png |
388292 | img402.png |
388293 | img403.png |
388294 | img404.png |
388295 | img405.png |
388296 | img406.png |
IDs for objects within Cemify can be accessed by running a bulk export of data.
Map Classifiers
Map Classifiers can also be used to associate plots with certain images / files. Please note, map classifiers must match precisely with Cemify map classifiers for a valid match to be found. Here is an example of a spreadsheet referencing Section, Lot & Grave in the file association sheet:
Section | Lot | Grave | File Name |
North | 1 | 1 | img399.png |
North | 1 | 2 | img400.png |
North | 1 | 3 | img401.png |
North | 1 | 4 | img402.png |
North | 2 | 1 | img403.png |
North | 2 | 2 | img404.png |
North | 2 | 3 | img405.png |
North | 2 | 4 | img406.png |
