How To Add & Manage Saved Line Items

Allows for enhanced reporting, automatic tax calculation and more accurate pre-population of line items in templates. This free and instant upgrade has no impact on existing data, is recommended for most customers and can be reversed if necessary upon request. Introduction
A Saved Line Item in Cemify allows you to store pricing, descriptions, SKUs and tax rates for commonly sold products and services, making it easier to process sales and keep your records consistent. Saved Line Items will be automatically suggested to you when you create a new sale. For example, just click in the "Select a product/service" input field to see a list of all Saved Line Items in the account:
Starting to type a description will filter the Saved Line Items to include only those that include what you've typed, allowing you to quickly find pricing and services:
Just click on an item from the list to add it to the sale and (optionally) edit it's description, quantity and price.
For cemeteries with small price sheets (less than 5 - 10 product or services types), we recommend clicking on the "Add line items from the full price sheet" option, to see all potential products/services in one table:
Simply toggle the quantity for the products you'd like added and select "Add To Sale". Note that while item descriptions, quantities & unit prices can be edited, the Name & SKU of a product cannot be changed and is pulled automatically from the Saved Line Item configuration. Having the name & SKU locked allows for better reporting, more consistent records and more efficient pre-population of sales templates.
How To Add A Saved Line Item
To add a new saved line, take the following steps:
1. Navigate to Account & System Settings in the upper right hand corner.
2. Click on Sales in the left hand menu to access your sales settings.
3. Click on the Add Saved Line Item button.
4. Enter a category, name, description, SKU and price. Note that Names & SKUs must be unique (no two saved line items can share the same name or SKU) and cannot be edited on a per sale basis. Descriptions, quantities and pricing, on the other hand, can be edited for each sale.
5. Optionally specify a Tax Rate (for items where sales tax is collected, such as merchandise). See the How To Use Tax Rates section below for more information on adding tax rates.
6. Click on "Save" to save the line item.
This line item will now be suggested and selectable when creating a new sale.
How To Edit or Delete an Existing Saved Line Item
To edit or delete a saved line item that already exists:
1. Navigate to Account & System Settings in the upper right hand corner.
2. Click on Sales in the left hand menu to access your sales settings.
3. Find the line item you'd like to edit or delete and click on the three dots to the right of the item in the list. Click on either Edit or Delete
Please note, editing or deleting saved line items will not affect previous sales.
How To Use Line Item Categories
Line Item Categories allow you to abstract your reporting on line items into categories (as opposed to relying only on the line item name or description for reporting purposes). Line Item Categories can be managed similar to saved line items:
1. Navigate to Account & System Settings in the upper right hand corner.
2. Click on Sales in the left hand menu to access your sales settings.
3. Click on Add Category or select the three dots next to an existing category to edit or delete it.
4. If any existing Saved Line Items exist, be sure to edit them and assign them the correct category using the "How To Edit or Delete an Existing Saved Line Item" steps above.
To change your canned sales report to use "Categories" for reporting instead of the line item description, toggle on the "Use line item categories for reporting purposes." toggle on the sales settings page and click "Save Changes". Doing so will change your sales report to pull from "Categories" as opposed to "Descriptions", for example:
How To Use Tax Rates
For some cemeteries, none of the products/services they provide are subject to sales tax. In this case, creating and assigning tax rates is not necessary. However, for cemeteries who do collect sales tax on certain line items in a sale, Tax Rates allow you to specify tax rates on a per item basis and have Cemify automatically calculate them into sales total.
To add a tax rate:
- Navigate to Account & system settings in the upper right hand corner.
- Click on Sales in the left menu.
- Click on the Add Tax Rate button.
- Specify a Tax Rate (for example, 9.125) and a description (for example 'CA County & State Sales Tax').
- Click on Save.
This Tax Rate can now be added to saved line items. To add to an existing line item, simply click on the three dots next to the item and select Edit, then select the newly added tax rate from the tax rate dropdown and click Save.
Frequently Asked Questions
Q: If I have a Cemify account with multiple cemeteries, do I need to manage my line items separately for each cemetery?
A: Yes, at this point each cemetery in an account has it's own Saved Line Items. This allows you to set different pricing based on cemetery.
Q: I am a small operation, do I really need to create and assign product SKUs?
A: If you'd prefer not to utilize product SKUs for your saved line items, they are not required. That said, creating and assigning SKUs does not take much time and can create more long term structure and organization to your records.
Q: I was previously using the older version of line items and just upgraded. What else do I need to do?
A: For customers who were utilizing our previous line items version but just upgraded, you'll just need to add unique "Product/Service Names" and "SKUs" to all your existing line items. You can also, optionally, add tax rates to existing line items for automatic sales tax calculation. Any historical sales and line items will of course, stay intact, but you can utilize enhanced line items moving forward.
