Creating and Managing Plots

What are Plots in Cemify?

Plots form the foundation of your Cemify system, so it's important to understand what they are and how to create and manage them.   

A Plot in Cemify refers to an individual interment space in the cemetery.  For traditional burials, this might be a 8.5 foot X 3 foot piece of land on the cemetery grounds.  For cremations or crypts, this might be a space in a mausoleum or columbarium.  

Identifying Plots Through Map Classifiers

Each Plot in your cemetery records should have a unique identifier, tied to your mapping materials.  In Cemify, we refer to these identifiers as map classifiers.  A common set of map classifiers we see from cemeteries is "Section, Lot & Space."  For example, you might classify a plot as Section North, Lot 12, Space A:

This is just one example -- classifiers are fully customizable within Cemify and should be configured based on your cemeteries unique design.

Adding Plots to Cemify

There are two ways to add plots into Cemify:

1. Bulk spreadsheet upload

For larger cemeteries, it is often helpful to structure your plots into a spreadsheet, for example:

Section Lot Space
North 1 A
North 1 B
North 1 C
North 1 D
... ... ...

Then upload them in bulk using Cemify's bulk data uploader to create plots based off of the spreadsheet row.

2. Add plots directly in Cemify

Another option is adding plots directly into Cemify.  To do this, simply navigate to Plots in your top header, then click on Add Plots:

Then enter the classifiers for the plot you'd like to add:

To add plots in ranges (for example, Lots 1 through 100) click on the Add from range option and enter in number or letter ranges.  The example below would create 200 plots, Lots 1 through 100 and Spaces A and B within each Lot:

There are a few important rules to follow when adding plots within Cemify:

Tips For Organized Plot Classification

  • Don't aggregate multiple plots into one record.  For example, do not create a Plot called Section North, Lot 12, Space A-D to indicate 4 spaces.  Instead, create an individual plot record for A, B, C & D spaces (or add them from a range as shown above.)
  • Don't create separate plots for double depth or multiple interments in one Plot.  For example, if you have two cremations in the same plot, just create one plot and add multiple burial records.

Tracking Plot Status

Each plot in Cemify should have a status.  Statuses are fully customizable, but here is a list of common statuses we see used at cemeteries:

  • Available -- a plot is empty and available for sale.
  • Occupied -- an individual has passed away and has been interred in a plot.
  • Sold -- an individual owns burial rights to a plot, but no one has been interred.
  • Obstructed -- a plot is obstructed. For example, by a tree or roadway.
  • Unknown -- the status of a plot is unknown or needs more research.

Tracking plot status is important for reporting and for color coding of your map if you are using Cemify's digital mapping.  

Grouping Plots Into Entities

An Entity in Cemify is a collection or grouping of plots within the cemetery, calculated automatically based on the map classifiers you use.  For example, if you were to add Section North, Lot 5, Spaces A, B, C & D, Cemify will automatically create two entities:  Section North and Lot 20.  Entities help with navigation of your records and organization of your mapping:

To view details of a plot, click anywhere on the plot in a list:
